Terms of Agreement  

SOUTHMINSTER PRESBYTERIAN CHURCH

RULES AND REGULATIONS FOR THE USE OF CHURCH FACILITIES

1. Functions must not interfere with or conflict with church activities. Church activities shall have prior claim on the use of facilities, and, if time permits, Southminster shall give 10 days notice in case of conflicting dates. Southminster will make every effort to resolve conflicts to the satisfaction of both parties.

2. NO HARD LIQUOR MAY BE SERVED AT ANY TIME. Beer and wine may be served in moderation. Non-alcoholic beverages are to be offered along with alcoholic beverages. All laws of the state of Maryland, including those pertaining to the legal age for consuming alcoholic beverages, apply. Permission to serve alcoholic beverages must be obtained in advance. The signee is responsible for the behavior of all guests. DRUNKENESS WILL NOT BE TOLERATED. The signee must also assume responsibility for those persons who might become intoxicated and must provide alternative transportation for anyone whose capacity to drive may be impaired.

3. The entrance to the church should be maintained so that no obstructions or litter are deposited.
4. The entire building is a no smoking zone. Receptacles are located outside each exit door for those who wish to smoke.

5. Nothing will be stuck to, nailed into, or otherwise attached to the walls, doorways, ceilings, floors or curtains. Suction cups may be used on the windows to hand decorations.

6. No pets/animals are allowed in the church building (assistance dogs are an exception)

7. Parking is permitted only on the paved lot around the church.

8. A responsible adult must be in charge of each group during its use of the building. That person will prevent unbecoming conduct on the church property during use.

9. Any damage to church facilities must be reported to the church office or to the church contact person as soon as noted. Satisfactory reimbursement shall be made to cover the cost of repair or replacement.

10. The church facilities are not available for commercial activities. Southminster may allow limited sales to members of the sponsoring group subject to prior written approval. Non-members rates apply to fundraising activities.

11. Groups wishing to use the kitchen shall so inform Southminster's contact person at the time when the arrangements are made to use the building. Food and drinks are allowed only in the Fellowship Hall and kitchen. All Food and drinks for the event shall be removed at the conclusion of the function. The application should state whether the kitchen will be used for warming or cooking. An orientation of the kitchen must be held prior to the event with the party(ies) using the kitchen.

12. Weddings and large gatherings require payment of janitor fee in advance. Clean up all trash and leave the premises neat and orderly after events. If you anticipate having a large amount of trash, please arrange with the contact person for access to the dumpster in the parking lot. If trash exceeds the size of the dumpster, a separate fee will be assessed. Mops, brooms, and a vacuum are available for use in case of spills. In certain circumstances, the janitor's fee may be refunded.

13. Arrange to end all functions by 10: 15 P.M. Finish your clean-up and lock the doors (building emptied, lights off, etc) by 10:45 P.M. (See checklist for securing the building).

14. Use only the room(s) reserved. A responsible adult must supervise all youth activities.

15. Do not remove any furniture from rooms except chairs and/or folding tables and return these to the original location after your event.

16. Remove any materials brought into the building promptly unless prior arrangements have been made with the contact person from the church.

17. If the pulpit is used in the sanctuary, be sure to remove the Bible and place it on the shelf inside the pulpit. A portable podium is available for use in the fellowship hall.

18. Do not use the Communion Table. It may be moved to the side if it is in the way.
19. The piano may be used by prior arrangement. If a piano needs to be moved, arrange with the contact person. The organ will normally be available for functions such as weddings or other occasions where a professional organist is provided. Do not unplug the organ console at any time.

20. The Church Office and Pastor's Office are not available for any purpose.

21. Notify the Southminster contact person or the church office at 301-567-15 10 if there is a problem, something does not work properly, something is damaged or there is an accident.

22. Do not change the settings on any of the thermostats. If there is a serious heating or cooling problem, call the Southminster contact person.

23. A separate $50 fee is required for use of the nursery. The nursery must be under adult supervision at all times. Use of church materials found in the nursery is not permitted.

CHECKLIST FOR SECURING THE CHURCH BUILDING

1. Make sure that the EXTERIOR DOUBLE DOORS at both sides of the Sanctuary and at both ends of the Hallway and Fellowship Hall are locked.

2. Turn off all lights in Fellowship Hall and pick up trash

3. Turn off all lights in Kitchen. Make sure stove hood fan, all burners and oven, and all faucets are turned off.

4. Turn off all lights in Sanctuary and pick up trash.

5. Check all Classrooms - turn off lights and close all doors.

6. Turn off all lights in the BATHROOMS and make sure that the FAUCETS are turned off and toilets flushed.

7. Turn off all HALL lights

8. Lock the "FRONT DOOR"


FOR NON-PROFIT/CIVIC GROUPS

- FELLOWSHIP HALL with Kitchen 4 Hour Meeting $50 (evenings)
- BREAKOUT CLASSROOM (S) $5 per Room (does not include Nursery)
- NURSERY $50.00 - Adult supervision required at all times.

KITCHEN
The application should state whether the kitchen will be used just for warming or for cooking. An orientation is required for the person or group using the kitchen.

INSURANCE
A Certificate of Liability must be provided by the user. These normally are available
without cost from the user's Insurance Company as an addendum to the owner's
Homeowner's Policy. This must be provided to the contact person before the key is
released. This can be faxed to the church at 301-567-2803. Any questions on this can be
referred to the Southminster Contact Person.

JANITORIAL SERVICES
Janitorial services other than those normal to the operation of the church will be separately billed at the cost to the church. This will be quoted at the time of rental.
There will be no set-up or take down. It will be up to the renter to make arrangements for this service.

This application constitutes a formal agreement when completed and signed by all parties.
By signing this application the applicant agrees to indemnify and hold harmless Southminster Presbyterian Church from and against all action, liability, claims, suits, damages, cost or expenses of any kind which may be brought or made against the Church or which the Church must pay and incur by reason of or in any manner resulting from injury, loss or damage his/her obligations under the terms of this application/permit.
The applicant, or someone designated by him, will be charged with the responsibility of closing windows, extinguishing lights, including those in rest rooms and locking outside doors and cleaning up the kitchen by not allowing food behind on surfaces or in sinks. The name of this person will be given to the Church Office so that in case of failure to keep this rule such person can be contacted. Failure to adequately care for the facility will preclude further use of church property.
In case of cancellations or terminations of events,, the. Church Office should be notified.
